Office Manager / Paralegal (Part-Time)

To strengthen our growing Amsterdam office, we are looking for a part-time Office Manager / Paralegal who will take responsibility for core administrative, operational, and financial tasks. You’ll also support our legal and HR functions — becoming a trusted team member who keeps everything running smoothly behind the scenes.
Your responsibilities
Office & Operations Management
- Coordinate the daily operation of the Amsterdam office: handling phone calls, scheduling internal and client meetings, and serving as contact for the landlord and service providers (e.g. telecom, insurance, benefits)
- Order team lunches, organize flowers, and take care of the small details that make a workplace feel great
- Be the go-to person for logistics and daily needs
Support for Managing Directors & HR
- Assist in handling job applications, scheduling interviews, and coordinating communication with candidates
- Help organize onboarding processes and other internal team matters with a high degree of confidentiality
Invoicing & Financial Administration
- Following a two-week training at our Bremen headquarters, take over client invoicing: issuing invoices, collaborating with legal counsel on billed time, ensuring high-quality documentation
- Liaise with our external accountant: provide all relevant data on invoices, payroll, and financial documentation
- Collect incoming invoices from suppliers and counsel, support client travel reimbursements, and maintain clean financial records
Paralegal / Legal Administrative Tasks
- Draft and maintain minutes, assist in the organization of files, and support various small-scale legal and compliance administrative tasks
Your profile
- Languages: Fluent in English and Dutch (spoken and written) — German is a plus
- Experience: Prior experience as a paralegal, legal secretary, or office manager in a legal or professional services environment is a strong asset
- Education: Bachelor’s degree or professional training in the field is an asset
- Skills: Highly organized, proactive, and eager to learn on the go. You have a sharp eye for detail and the drive to uphold excellent quality in all that you do.
- Character: You are kind, reliable, and bring positive energy to the team. You understand the importance of confidentiality and discretion in a legal work environment.
